Privacy notice
How we collect, use and look after your personal information.
This notice explains what personal information Workplace Equity collects when you contact us or use this website, how we use it, and the rights you have. We keep it plain and honest.
Who we are
Workplace Equity is an independent EDI consultancy, and the trading name of Sophie Lecky, who is responsible for data protection. For anything about your data, contact us at hello@workplaceequity.co.uk. We are the "data controller" for the information described here.
The information we collect
We only collect what we need. That is mainly the information you choose to give us:
- When you use our contact form: your name, email address, and (if you provide them) your organisation, what you are interested in, and your message.
- When you email us or speak with us: whatever you choose to share in that conversation.
When you visit the website, our hosting provider also collects limited technical information (such as your IP address and basic request logs) to run and protect the site. We do not use advertising or tracking cookies.
How and why we use it
We use your information to:
- Respond to your enquiry and have a conversation about your needs;
- Prepare proposals and provide our services if we go on to work together;
- Keep proper records of our discussions and any work.
Our lawful bases for this are your consent (when you contact us), our legitimate interest in responding to enquiries and running our business, and, where we work together, taking steps to enter into or perform a contract.
We do not make automated decisions about you or carry out any profiling.
Marketing
We will only send you marketing or newsletter emails if you have specifically asked us to, for example by ticking a sign-up box. You can unsubscribe at any time, and we will never sell your details or pass them to anyone for their own marketing.
Who we share it with
We do not sell your personal information. We use a small number of trusted service providers who process data on our behalf so we can run the business, including our website host and form provider (Netlify) and our email provider (Microsoft 365, via GoDaddy). They act on our instructions and are required to keep your information secure. Some of these providers (such as Netlify and Microsoft) are based outside the UK, so your information may be processed outside the UK. Where that happens, we make sure it stays protected by appropriate safeguards.
How long we keep it
We keep enquiry information only as long as we need it. If we do not go on to work together, we will normally delete it within 24 months of our last contact. If we do work together, we keep records for as long as needed for the work and for any legal or tax obligations afterwards.
Your rights
You have the right to ask us for a copy of your information, to correct it, to delete it, to restrict or object to how we use it, and to withdraw consent at any time. To do any of these, just email hello@workplaceequity.co.uk and we will help.
Complaints
If you are unhappy with how we have handled your information, please tell us first so we can put it right. You also have the right to complain to the Information Commissioner's Office (ICO), the UK regulator, at ico.org.uk.
Changes to this notice
If we change how we handle personal information (for example, if we add website analytics or an email newsletter), we will update this notice.
